The two layers underneath
Neither is a feature anyone asks for by name. Both are where this kind of project usually goes wrong.
Moving your data across
We pull from YourMembership's own live connection rather than working off a spreadsheet export, because the connection carries relationships a CSV file quietly drops.
Master accounts keep their sub-contacts. A CSV flattens that link and it cannot be rebuilt by guessing.
Open and part-paid invoices arrive carrying their own balances, so a half-paid invoice stays half-paid.
The whole move is rehearsed end to end and checked against the CSV files you already have, before anything goes live.
Passwords cannot come across. Everyone sets a new one on first login, and that is the only change your members will notice.
Payments and tax
The platform raises the invoice, Stripe takes the payment, and QuickBooks records it. Three things you already use, joined up, with nothing new to learn.
A free built-in connector writes every payment into QuickBooks Online as it happens. Nobody keys anything in twice.
QuickBooks stays your books and Stripe is only the card processor. Calforests owns both accounts.
In California, dues and event registrations are generally not taxable, so tax is collected on the merch store only. Nothing about your current setup has to change.
02 · Membership and money
Membership, dues, and invoices.
This is an initial mockup, running on 2,975 stand-in records shaped like your real export. We work on it together from here. You tell us what you like and what you do not, and it grows into the real thing.
Member list
The eleven member types in the filter are the exact ones your export contains.
Six inputs, each stepping through its own set of tiers the way income-tax brackets do. The panel lists every tier it touched and what each one added, so a member who questions their bill can be answered straight from the screen. The rates shown are stand-ins until Calforests hands over the real ones.
Each invoice carries its own balance instead of the system working it out from a status, so a part-paid invoice arrives part-paid rather than flipping to open or closed. Dues invoices are tagged separately from event and store orders.

Event setup
Full conference, non-member, Wednesday only, Thursday only, student, awards dinner, field tour, exhibitor booth. Today each one is its own separate event. Here they are eight rows on a single event, each priced and capped on its own, with two-day and single-day tickets sitting side by side.
A company booking four colleagues is one registration with four attendee rows, each with its own ticket, so two can come for the full conference and two for Wednesday only. Redeeming a sponsor's included tickets creates those rows and lowers the sponsor's remaining count in the same click. That link is why we build membership and events together.

Design and dry run
We design membership, dues history, and events together, then rehearse the whole data move using YourMembership's live connection, checked line by line against your CSV exports, right down to the invoice balances.

Membership and invoicing
Member records, the dues calculator on real rates, the yearly invoicing cycle, Stripe collecting payments, and the QuickBooks link. By the end of this phase, your staff can start using the admin.
03
Events and email
Event setup with multiple ticket types, the attendee list, sponsor-ticket redemption, and the daily clip and campaign sends. All of it is built and tested while FSI 2027 runs on YourMembership, so the new events tools are ready for the first cycle after the switch.
04
The spring 2027 switch
The final data move, everyone resets their password on first login, and YourMembership is retired. The new platform takes over once FSI 2027 has closed.

One fixed fee for the build, billed across the four phases. Then one flat monthly to keep the platform running, in place of what YourMembership charges you today.

Data move
Moving your records across. We charge $2,000 for this. The alternative is YourMembership's API add-on at $2,500, so doing it our way saves $500. Which one is needed cannot be settled until the build starts and we see what the export leaves out, so treat this as a contingency: the money goes either to us or to YourMembership, never to both.

Hosting and support
This covers everything. Hosting, the database, email, and the domain, plus updates, monitoring, and someone to call when something looks wrong. The accounts stay in Calforests' name and we run them for you.
